Setting up sessions on ClubSpark to work with Courtline
In order to set up Tennis For Free sessions on ClubSpark, the Tennis For Free software system (Courtline) needs to be linked to your ClubSpark venue page. When this has been done, you will see a 'LTA Tennis For Free' category under the 'Coaching' tab of the Admin panel of your ClubSpark installation. Your TFF sessions will need to be loaded on through this category section:
Step 1 - Log into your ClubSpark account and go to the 'Admin Area'. Once in the Admin area, you need to press the 'Coaching' tab on the left menu.
Step 2 - Once you've selected 'Coaching' from the left menu, choose 'View Programmes' from the top right section of the resulting page:
Step 3 - It's now time to select the 'LTA Tennis For Free' box on the resulting page.
Step 4 - Once you've done this, you need to set up a Course by clicking 'Add New Course' in top right of the page.
Step 5 - You now need to outline the Course. Please complete the Course details ensuring that:
- the Reference is: Tennis For Free.
- the start date is the date of the advertised Tennis For Free launch day
- time of the session is correct
- the session is set as 60mins
- capacity is set to 16 people multiplied by the number of courts that you are using (hence 48 for a 3 court venue). However, if you have many courts, we suggest setting a maximum of 100 players for the session.
Step 6 - Once you've create the Course, you'll see an option to 'Add New Class'
Step 7 - You'll now be able to add the individual classes to the course. Complete the form ensuring the following details:
- Ensure the event is 'Public'
- Ensure that the date you've entering isn't duplicated from a previously entered class
- Class should be 60mins
- Capacity is set as 16 people multiplied by your number of courts (up to a maximum of 100 people)
Step 8 - You now need to enter the additional class dates to the Tennis For Free course. We strongly recommend just pressing 'Back' on the browser button after you've completed a session, which will take you back to the class you just submitted. You can now easily change the date and submit again which will submit the new class date.
Step 9 - Please spend 10-15mins repeating this process, until you've got all of the class dates that you're wanting to set up for the season (typically ending at end of November).
That's everything!! Please NOTE that you should only enter Tennis For Free sessions on the official LTA Tennis For Free category that is automatically created after the Courtline system as been connected to ClubSpark. PLEASE DON'T manually set up a Tennis For Free category and add sessions to that.
